What is OneDrive?
OneDrive is an online storage service provided by Microsoft. It allows you to save and view files, as well as edit files and share them with other users.
At the University of Tokyo, the “UTokyo Microsoft License” is provided, which allows you to use Microsoft’s information systems. By using this license, you can sign in to Microsoft using your UTokyo Account, enabling the use of various OneDrive features.
About Storage Capacity
OneDrive used with a UTokyo Account has a storage capacity limit. As a rule, the storage capacity per individual is capped at 50 GB (this differs from the typical consumer version of OneDrive). If you exceed this limit, you will no longer be able to add or edit files (you may also fail to receive files; however, reading data, downloading, and deleting unnecessary files are still possible).
However, you can expand your storage capacity by separately paying a “usage fee.” For details, please refer to “Application for Expanding OneDrive Storage Capacity” (faculty and staff only, in Japanese) posted on the UTokyo Portal. Note that faculty and staff without a budget, as well as students, can also expand their capacity with the permission of faculty or staff who have a budget. Students should consult with their academic advisor or similar.
Reorganizing Saved Data
To check the storage you are currently using, please access the OneDrive storage management screen in your browser. There you can check files that are large and taking up storage, and you can also check your overall usage in the “Storage” section at the bottom left of the screen.
If deleting large files does not free up much space
Please check the following points.- Files deleted on OneDrive are basically moved to the “Recycle Bin.” Note that these files are also counted toward your storage usage (however, files in the “second-stage Recycle Bin” are said not to be counted).
- It may be because the version control feature is enabled on the University of Tokyo’s OneDrive. You may be able to free up space by deleting unnecessary past versions. About the App
In addition to using OneDrive in a browser, you can also use it asin an application.
The following types of applications are provided:
- Desktop App:You can use OneDrive by installing the OneDrive desktop app on your PC. When choosing this method, please pay attention to the following points:
- When you install the OneDrive app, a copy of the files stored on OneDrive will be created in your PC’s local environment and kept in sync at all times. If you are saving files used for work on OneDrive, please be very careful to ensure that work data does not end up being downloaded onto a personal PC.
- In Windows, if file synchronization is enabled, depending on the settings, folders such as “Desktop” and “Documents” may be placed ion OneDrive. Be careful not to unintentionally upload files to OneDrive.
- When you install the OneDrive app, a copy of the files stored on OneDrive will be created in your PC’s local environment and kept in sync at all times. If you are saving files used for work on OneDrive, please be very careful to ensure that work data does not end up being downloaded onto a personal PC.
- Mobile App:By downloading the OneDrive app to your smartphone or tablet, you can use OneDrive on your mobile devices.
